General Information
The Southern Council of Optometrists/SECO International, LLC ("SECO") and AFOS are committed to protecting the privacy and security of your personal information. This policy applies to all users of the AFOS & SECO Education Destination San Antonio 2025 (hereafter referred to as the “Event”), as well as visitors to our websites. It covers individuals, including but not limited to exhibitors, sponsors, registrants, speakers, press, and others with whom SECO and AFOS maintain business relationships.
Information We Collect and Use
We collect two types of information:
- Traffic Data: Anonymous information (e.g., IP address, browser type) used to improve website experience. We may use cookies to personalize content, remember passwords, or track site usage.
- Personal Information: Includes contact details (name, email, company), demographic data, and payment data. We collect this when you register, purchase services, or communicate with us.
We use your data to:
- Register and manage your participation in the Event
- Communicate important Event updates
- Improve our services and website
- Send marketing communications, if permitted
- Share with contractors, exhibitors and/or sponsors as needed (see below)
Sharing with Event Sponsors
We may share your name, title, mailing address, and email address with exhibitors and/or sponsors of the Event to allow them to contact you following the Event about products and services relevant to your professional interests.
Opt-Out Option: If you do not wish to have your information shared with sponsors, you may opt out by emailing info@secostaff.com at least 3 business days prior to the Event. We will honor opt-out requests without penalty.
Cookies and Tracking
Cookies may be used to store non-personal preferences and track usage data. These enhance the user experience but are not required to use the website. Most browsers allow users to manage cookie settings.
Email Communications
SECO does not sell email addresses. We may send communications related to purchases, registrations, updates, or promotions. Occasionally, we may email on behalf of sponsors or partners.
Each marketing email will contain clear unsubscribe instructions or links. You can opt out of marketing emails at any time.
Security of Your Data
We take reasonable precautions to protect your data, but we cannot guarantee absolute security. If legally required, we may disclose data without consent.
In the event of a data breach involving personal information, SECO and AFOS will comply with all applicable notification laws, including those in the State of Texas
State Privacy Rights
Although we are nonprofit organizations and not subject to certain state privacy laws, we voluntarily align our practices with privacy protections offered by states such as California (CCPA/CPRA), Colorado, Connecticut, Virginia, Utah, Texas, and Puerto Rico. Residents of these jurisdictions may:
- Request access to their personal data
- Request correction or deletion
- Opt out of data sharing with sponsors or third parties

International Users
Our services are intended for use by individuals in the United States and its territories, including Puerto Rico. By using our services, you acknowledge and agree that your personal information will be stored and processed in the United States, where privacy laws may differ from those in your country of residence.
Children’s Privacy
We do not knowingly collect information from children under 13. If we become aware that we have inadvertently done so, we will delete that information.
Lost or Stolen Information
Please notify us immediately if your login or payment information is lost or stolen.

SECO and AFOS are committed to providing access to all individuals. If you require accommodations under the Americans with Disabilities Act, please contact us at info@secostaff.com at least 14 days prior to the Event.

Terms and Conditions of Use
By using the Site and registering for the AFOS & SECO Education Destination San Antonio 2025 ("Event"), you agree to these Terms and Conditions of Use. AFOS AND SECO reserves the right to change these Terms at any time without prior notice. Users are responsible for reviewing terms regularly. This Agreement includes provisions that limit liability, require indemnification, and govern legal disputes.
Intellectual Property
All content on the Site, including logos, documents, and graphics, is the property of AFOS AND SECO. You may not reproduce, publish, or distribute any materials without written permission, except for personal or non-commercial educational purposes.
User Submissions
Communications or materials you submit to the Site or Event social media (excluding personal information) are considered non-confidential. AFOS AND SECO may use such materials for any lawful purpose. Users are prohibited from posting illegal or inappropriate content.
Photo and Video Recording
AFOS AND SECO may record and photograph Event attendees for promotional or educational purposes. By attending the Event, you consent to the use of your likeness. Recording educational content is prohibited and may result in removal from the Event without refund.
Physician Payment Sunshine Act
AFOS and SECO may collect and share information about attendees with sponsors to ensure compliance with the Sunshine Act. Eye care professionals should ensure their NPI and address are up-to-date to facilitate accurate reporting.
Limitation of Liability and Indemnification
Event attendees assume all participation and travel risks. AFOS AND SECO are not liable for indirect or consequential damages. Attendees agree to indemnify AFOS AND SECO for any claims arising from their participation.
Health and Safety Acknowledgment
By attending the Event, you acknowledge the inherent risk of exposure to communicable diseases and other health risks in public spaces. You voluntarily assume all such risks and agree not to hold SECO, AFOS, the venue, or any affiliated parties liable should you become ill or injured as a result of your attendance.
Force Majeure
SECO and AFOS shall not be held responsible for any failure or delay in the performance of their obligations due to acts of God, weather, government restrictions, pandemic, labor strikes, civil unrest, or other causes beyond reasonable control. In such cases, SECO and AFOS may modify, postpone, or cancel the Event without liability.
Cancellation Policy
Credit Card Authorization and Refund Policy Acknowledgment
By completing your registration and submitting payment, you acknowledge and agree to the cancellation and refund policies outlined by AFOS and SECO International. You authorize SECO International to charge your credit card for the amount due.
All sales are final after the cancellation deadline (August 10, 2025).
No refunds will be issued for cancellations, no-shows, or unused registrations after this date. Attempting to dispute valid charges with your credit card company after the cancellation deadline without following the stated cancellation process may result in the dispute being denied and you continuing to be responsible for payment.
Cancellation and Policies Agreement
By completing your registration, you acknowledge and agree to the following:
- The Cancellation and Transfer Policy outlined on this page, including deadlines, fees, and no-show provisions.
- The Credit Card Authorization and Refund Policy, including your responsibility for payment. All sales are final after August 10, 2025.
These policies govern your participation in the AFOS & SECO Education Destination San Antonio 2025 (“Event”) and apply to all attendees. By clicking “Submit”, you confirm that you have read and agree to all the above.
Jurisdiction and Governing Law
This agreement shall be governed by and construed in accordance with the laws of the State of Georgia, without regard to its conflict of law rules. Any legal disputes arising from or related to registration, terms of use, or SECO and AFOS operations shall be subject to the exclusive jurisdiction of the courts located in Fulton County, Georgia.
Notwithstanding the foregoing, any claims or disputes arising directly from attendance at or incidents occurring during the in-person Event in San Antonio, Texas, shall be governed by the laws of the State of Texas and may be subject to the jurisdiction of Texas courts.

Code of Conduct
SECO and AFOS are committed to providing a safe, inclusive environment for all Event participants. Harassment in any form is not tolerated. Violations may result in removal without refund and/or banning from future events. Reports of harassment should be directed to the SECO office at 770-451-8206. Complaints will be handled confidentially and investigated promptly.
